This statement describes how your personal data are processed. The University of Oulu as the organizer of the meeting is the controller of the data file. The University of Oulu (“we” below) processes the personal data collected from you on the online form according to this privacy notice. The basis for data processing in the University of Oulu is to comply with legal obligations and to perform tasks in the public interest. Purposes of processing personal data
If you wish to attend the Joint Nordic Matrix Biology Meeting, the provision of your personal data, as collected on the online form, is necessary for us to be able to organize the conference. More specifically, we process the personal data we collect from you for the following purposes:
· to review abstracts for papers, posters, and workshops and to communicate with their authors and organizers,
· to design the conference program, and
· to organize and communicate practical matters, such as the conference venue and catering.
Legal basis for processing personal data
We collect and process personal data based on participants’ consent. You give your consent by filling in and submitting the online form.
Recipients of personal data
All the personal data collected from you will be processed in accordance with the General Data Protection Regulation (GDPR). No data will be transferred outside the EU or the EEA. Your personal data will be processed by the organizing committee of the Joint Nordic Matrix Biology Meeting, and the online query service provider (Webropol Oy), according to the principles stated in the Data Processing Agreement (DPA) between the University of Oulu and the service provider.
Storage period of personal data
Full personal information as we collect through the online form: from time of collection until the end of 2021.
Abstracts, papers, and conference program (incl. names and contact details): indefinitely.
Other information
You have the right to request from us access to and rectification or erasure of your personal data or restriction of processing concerning yourself or to object to processing, as well as the right to data portability, as stated in the GDPR. Additionally, you have the right to lodge a complaint with the Finnish Data Protection Ombudsman regarding the processing of your personal data (https://tietosuoja.fi/en/contact-information).
We do not use your personal data for other purposes than those mentioned in this privacy notice.
